AI & Automation

Stop Losing Hours to Work a Machine Should Be Doing

I build AI automation systems that take over repetitive work inside your business: processing documents, answering customers, qualifying leads, moving data between tools. 8+ years of experience, 200+ projects delivered.

Most businesses don't need an AI strategy. They need three specific processes automated. We'll find out which three on a free call.

30 minutes. I'll tell you what's worth automating and what isn't.

The problem

Manual Work Doesn't Announce Itself. It Just Adds Up.

Nobody schedules four hours a week for copying data between systems. It happens anyway, spread across five people, and it never shows up as a line item. That's why it survives for years.

hours a year, from two hours a day

The cost, made visible

One person spending two hours a day on repetitive work is roughly 500 hours a year. Across a team of five, that's the equivalent of a full-time hire doing nothing but admin — paid for out of work that should have been growth.

Signs this page is for you

  • Your team re-enters the same information into two or three different systems
  • Customer enquiries wait hours for a reply that follows a predictable pattern
  • Someone manually reads invoices, forms, CVs or documents and types the contents somewhere else
  • Your reporting is built by hand every week from exports
  • Leads come in and sit unqualified until someone has time
  • You've tried an off-the-shelf automation tool and hit its ceiling
Honest counterpoint

Not everything should be automated. A process that changes every month, or runs three times a year, usually costs more to automate than it saves. Part of the audit is telling you which of your processes fall into that category.

What I build

What AI Automation Actually Looks Like

Six things I build most often. Most projects combine two or three of them.

Workflow Automation

Connecting the systems you already use so work moves between them without a person in the middle. An order arrives, the invoice generates, the CRM updates, the customer gets a confirmation, the team gets a notification — no one touched it.

More detail

Built with direct API integrations rather than brittle no-code chains, so it keeps working when volume grows.

Typical outcomeA multi-step process that took 20 minutes runs in seconds.

AI Agents & Chatbots

Assistants that handle real conversations, not scripted menus. They answer from your actual documentation and data, escalate to a human when they should, and log everything.

More detail

Used for customer support, internal knowledge lookup, booking and qualification.

Typical outcomeFirst-response time drops from hours to seconds, and your team only sees the questions that need judgement.

Document & Data Processing

AI that reads invoices, purchase orders, contracts, forms, CVs and receipts, extracts the fields you need, validates them, and pushes them into your system.

More detail

This replaces the single most common source of manual hours in most businesses.

Typical outcomeDocument handling goes from minutes each to near-instant, with a review step for anything the system isn't confident about.

Lead Qualification & Sales Automation

Incoming enquiries get enriched, scored and routed automatically. Follow-ups send themselves. Your CRM stays current without anyone maintaining it.

Typical outcomeSales spends time on qualified conversations instead of triage.

AI Integration Into Existing Systems

Adding AI capability to the software you already run — your website, CRM, ERP, internal tools or database — through APIs, without replacing anything.

More detail

This is the most common request, and the one most agencies get wrong by proposing a rebuild.

Typical outcomeNew capability inside familiar tools, with no retraining and no migration.

Reporting & Internal Dashboards

Automated data pipelines feeding live dashboards, replacing the weekly ritual of exporting, merging and formatting spreadsheets by hand.

Typical outcomeReporting that is current at all times instead of accurate once a week.

Process

How an Automation Project Runs

Four stages. You know the cost and the timeline before stage three begins.

Stage 1Free, 30 minutes

Automation Audit

We walk through how work actually moves in your business and find the processes worth automating. You leave the call with a shortlist and a rough sense of effort, whether or not you hire me.

Stage 23–5 days

Scope & Proposal

I map the chosen processes in detail, confirm what your systems can and can't expose, and send a fixed-price proposal with a timeline and a defined deliverable. No hourly billing, no open scope.

Stage 32–8 weeks, depending on scope

Build

Development in short cycles with a working demo at the end of each. You test against real data as we go, so problems surface while they're still cheap to fix.

Stage 4

Deploy, Train, Support

We go live on one process first, confirm it holds, then expand. Your team gets training and documentation, and monitoring is in place so failures surface immediately rather than silently.

You own everything: the code, the integrations, the documentation and the accounts. Nothing is locked to me.

Tools & integrations

What I Build With

The right tool depends on the job. Here's what I work with most.

AI models
OpenAI (GPT)Anthropic (Claude)open-source models where data must stay in-house
Automation
Custom API integrationsn8nMakeZapier where appropriate
Backend
LaravelNode.jsPythonPostgreSQLMySQL
Business systems
CRMsERPsaccounting platformsGoogle WorkspaceMicrosoft 365Slack
Ecommerce
ShopifyWooCommerce
Infrastructure
AWSVercelCloudflareDocker

No-code tools, honestly

Zapier and Make are good tools and I use them when they fit. They stop fitting when volume grows, logic gets conditional, or per-task pricing starts to cost more than the work it replaced. When that happens I build the integration directly against the API instead. Part of the audit is telling you which side of that line you're on.

Data and privacy

For businesses that can't send data to external AI services — healthcare, finance, legal — I build with models that run inside your own infrastructure. We decide this before anything is built, not after.

FAQ

AI Automation — Common Questions

How much does AI automation cost?

Most automation projects start from [PRICE] and are quoted as a fixed price per scope, not hourly. A single workflow sits at the lower end; a system spanning several departments with custom AI components sits higher. You'll have an exact figure in your proposal before any work begins.

How do I know what's worth automating?

The rule of thumb is frequency times duration. A task done daily that takes 15 minutes is worth automating; one done twice a year rarely is. The free audit call maps your processes against that test and gives you a shortlist ranked by payback.

Will automation replace my staff?

In practice it removes the parts of their jobs nobody wanted. Most clients redeploy people to work that needs judgement rather than reducing headcount. If your goal is specifically to cut roles, say so early — it changes what we build and how we roll it out.

Can you work with the software we already use?

Yes, in most cases. If your systems have an API, they can be integrated. Older systems without one can often still be automated through database access, file exports or browser automation. I check this during scoping before anything is promised.

What happens if the AI gets something wrong?

Every system I build has a confidence threshold and a human review path. Anything the AI isn't sure about goes to a person instead of being pushed through silently. You also get logging, so you can see exactly what happened and why.

Is our data safe?

I sign an NDA before any project starts, and we decide the data approach before anything is built. For sensitive industries I use models that run inside your own infrastructure so nothing leaves your systems. You'll know exactly what data is processed and where it goes.

How long until we see results?

The first automation is usually live within 2 to 4 weeks. I deliberately start with one process rather than everything at once, so you see a real result early and the rollout is based on evidence rather than assumptions.

What if we've already tried automation and it didn't work?

That's common, and it's usually one of three causes: the wrong process was chosen, a no-code tool hit its ceiling, or nobody owned it after launch. The audit starts by looking at what broke, because that's usually faster than starting from scratch.
